Refund & Cancellation Policy

1. Overview

This Refund and Cancellation Policy ("Policy") governs all subscription plans and add-on purchases made by Agency Users on the Easyhyre platform, operated by Hyrefox Consultants Limited ("Company", "we", "us"). This Policy forms part of our Terms of Service and should be read in conjunction with it.

We want you to be satisfied with the Easyhyre platform. Where you are not, we have set out below the circumstances in which we will provide refunds and the process for requesting them.

2. Subscription Plans and Billing

Easyhyre offers subscription plans on a monthly or annual billing cycle ("Billing Period"). All fees are charged in advance at the beginning of each Billing Period and are stated in Indian Rupees (INR) exclusive of applicable Goods and Services Tax (GST).

Subscriptions renew automatically at the end of each Billing Period unless cancelled in accordance with Section 3 below. You authorise us to charge your registered payment method for the renewal amount at the then-current subscription rate.

We will provide at least thirty (30) days' advance notice of any increase in subscription pricing before such increase takes effect at your next renewal.

3. Cancellation

3.1 How to Cancel

You may cancel your subscription at any time by:

  1. Navigating to Settings → Subscription within the Platform and selecting "Cancel subscription"; or
  2. Sending a written cancellation request to [email protected] from the email address registered to your account.

Cancellations take effect at the end of the current Billing Period. You will retain full access to all subscribed features until that date.

3.2 Effect of Cancellation

Upon cancellation taking effect:

  • Your account will revert to a read-only state or be deactivated, depending on your plan;
  • You will no longer be charged for subsequent Billing Periods;
  • Your data will be retained for 30 days following the cancellation date, during which you may export it. After 30 days, data deletion proceeds in accordance with our Privacy Policy (Section 6).

4. Refund Eligibility

4.1 Standard Refund Window

If you are dissatisfied with the Platform for any reason, you may request a full refund within seven (7) calendar days of your initial subscription purchase (the "Refund Window"), provided that:

  1. This is your first paid subscription to the Platform (the Refund Window does not apply to renewals or plan upgrades);
  2. You have not processed more than 50 candidate applications or generated more than 5 tracker exports during the Refund Window; and
  3. You submit your request in writing to [email protected] before the Refund Window expires.

Refunds under this clause are processed to the original payment method within ten (10) business days of approval.

4.2 Refunds for Platform Unavailability

If the Platform experiences unplanned downtime exceeding four (4) cumulative hours in any calendar month for which you have an active subscription, you are entitled to a pro-rata credit equal to the proportion of monthly subscription fees corresponding to the excess downtime period. Credits are applied to your next invoice and are not redeemable for cash.

Downtime caused by scheduled maintenance (of which we will give reasonable prior notice), third-party service outages (including WhatsApp or cloud provider incidents), or your own actions does not count towards the four-hour threshold.

4.3 Exceptional Circumstances

Requests for refunds outside the Refund Window will be considered on a case-by-case basis at our sole discretion where exceptional circumstances apply, such as a documented and verifiable technical failure directly attributable to us that materially impaired your use of the Platform for an extended period.

5. Non-Refundable Items

The following are not eligible for refunds under any circumstances:

  • Subscription renewals, whether monthly or annual;
  • Partial months or partial years of service consumed;
  • Plan upgrades made mid-Billing Period;
  • One-time add-on features or services once activated;
  • Fees already applied as credits to your account;
  • GST and other taxes remitted to government authorities; and
  • Any plan where the account has been suspended or terminated due to a breach of our Terms of Service.

6. Annual Subscription Cancellation

If you cancel an annual subscription after the Refund Window:

  • Within the first 3 months: You will receive a credit note for the remaining unused months, minus a cancellation processing fee of 10% of the annual subscription value. Credits may be applied to a future subscription on the Platform.
  • After 3 months: No refund or credit is available. Your access continues until the end of the paid annual term.

Cash refunds are not issued for early termination of annual subscriptions except under Section 4.3 above.

7. Refund Request Process

To request a refund, please contact us as follows:

  1. Email [email protected] with the subject line "Refund Request — [your account email]";
  2. Include your registered email address, the date of the charge, the invoice number (available in Settings → Billing), and the reason for your request;
  3. We will acknowledge your request within two (2) business days and respond with a decision within seven (7) business days.

Approved refunds are credited to the original payment method within ten (10) business days of approval. Processing times may vary depending on your payment provider or bank.

8. Payment Disputes and Chargebacks

If you believe a charge was made in error, we ask you to contact us at [email protected] before initiating a chargeback with your bank or payment provider. We will endeavour to resolve legitimate billing disputes promptly.

Initiating a chargeback without first contacting us may result in the immediate suspension of your account pending investigation. Fraudulent chargebacks may result in permanent account termination and recovery proceedings.

9. Statutory Consumer Rights

Nothing in this Policy limits any rights you may have under the Consumer Protection Act, 2019, or any other applicable consumer protection legislation. In the event of any inconsistency between this Policy and your statutory rights, your statutory rights prevail.

10. Changes to This Policy

We may update this Policy from time to time. Any changes will be effective from the date posted on the Platform. For material changes, we will provide at least fourteen (14) days' prior notice. Continued use of the Platform after any changes constitutes acceptance of the revised Policy.
